Replyless uses your AI preferences to generate drafts that sound like you, match the formality of each conversation, and focus on the email categories that matter most. The more context you provide, the more accurate and natural your drafts will be.

Set your reply tone

Your reply tone tells the AI how to phrase responses across all your email categories. You can override the default tone for individual categories later. Navigate to Settings → AI Preferences → Reply tone and select the tone that fits how you communicate.

CasualRelaxed, conversational language appropriate for colleagues, familiar clients, or personal contacts.
ConciseShort, direct replies that get to the point quickly. Useful when you handle high email volume.
Select a tone and click Save. The AI applies this tone to all new drafts immediately.

Set your default reply language

By default, Replyless replies in the same language as the incoming email. You can override this with a fixed language.

Open AI preferences

Navigate to Settings → AI Preferences → Language.

Choose a language

Select your preferred language from the dropdown. Replyless supports all major languages.

Choose auto-detect or fixed

Toggle between Match incoming email language (recommended) and Always reply in selected language, then click Save.

Add personal context

Personal context helps the AI write in your voice. The more specific you are, the less editing you will need to do on each draft.

Open AI preferences

Navigate to Settings → AI Preferences → About you.

Describe yourself and your role

Fill in the free-text field with information such as your job title, company, industry, common topics you handle, and any phrases you use or want to avoid.

Save your context

Click Save. The AI incorporates this context into all subsequent drafts.
Example context that works well:
I’m a product manager at a B2B SaaS company. I handle vendor negotiations, customer escalations, and internal stakeholder updates. I prefer short sentences and avoid jargon. I never use the phrase “as per my last email.”

Enable or disable AI drafts by email category

You can choose which email categories receive AI-generated drafts. This is useful if you prefer to write certain types of replies yourself.

Open AI preferences

Navigate to Settings → AI Preferences → Draft categories.

Toggle categories

Use the toggle next to each category to enable or disable AI drafts. Common categories include:
  • Sales and outreach
  • Customer support
  • Newsletters and updates
  • Internal team messages
  • Invoices and billing
  • Personal

Save your changes

Changes are saved automatically when you toggle a category.

Give feedback on AI replies

Feedback is how Replyless learns your preferences over time. Every thumbs-up or thumbs-down you give is used to fine-tune future drafts for your account. When you review a draft in your inbox, click the thumbs up or thumbs down icon beneath the draft. For negative feedback, you can optionally select a reason — for example, “wrong tone”, “too long”, or “missed the point” — to help the AI improve faster.
The more feedback you give in the first week, the more accurate your drafts become. Even five or ten ratings can noticeably improve draft quality. You can also edit a draft directly — Replyless treats significant edits as implicit feedback.
No. Feedback only affects your personal AI model. It is never shared with or applied to other Replyless accounts.
Yes. Navigate to Settings → AI Preferences and click Reset to defaults at the bottom of the page. This clears your personal context, tone, and feedback history and returns all settings to their out-of-the-box state.
