If something isn’t working as expected, the steps below cover the most common issues and how to resolve them. Work through the relevant section before contacting support — most problems can be fixed in a few minutes.
OAuth connection errors are usually caused by a permission being blocked or a previous authorization being revoked.Steps to try:
  1. Go to Settings → Connected accounts and remove the affected account.
  2. Re-add the account and complete the OAuth flow in full, making sure to grant all requested permissions when prompted.
  3. If you’re on a Google Workspace or Microsoft 365 account, check with your IT admin — organizational policies sometimes block third-party OAuth apps. Ask them to allowlist Replyless.
  4. Clear your browser cookies and cache, then try the OAuth flow again in a fresh tab.
Replyless requires read and send permissions to generate drafts and sync your inbox. Granting only partial permissions will cause the connection to fail.
If the error persists after these steps, note the exact error code shown and contact support.
If drafts are not appearing for certain emails, check the following:
  • Email is in an excluded category. Some categories (e.g., newsletters, automated notifications) are excluded from AI drafting by default. Check Settings → AI preferences → Drafting rules to adjust which categories receive drafts.
  • Replyless is paused. Confirm the Pause Replyless toggle in Settings → AI preferences is off.
  • The thread is too long. Very long threads may exceed the context limit. In this case, Replyless will show a notice on the thread. You can still compose a reply manually.
  • The email arrived during a sync delay. Wait a few minutes and refresh the inbox. If the draft still doesn’t appear, open the thread and click Generate draft manually.
You can always generate a draft on demand by opening any thread and clicking the Generate draft button in the compose pane.
Occasional slowdowns or brief unavailability can occur during scheduled maintenance or unexpected incidents.
If you see a “Site is under maintenance” banner or actions are unresponsive, Replyless may be in a planned maintenance window. Your emails are not affected — they continue to arrive in your original email provider’s inbox during this time.
What to do:
  1. Refresh the page after a few minutes.
  2. Check replyless.ai for a status update or maintenance notice.
  3. If the issue affects only specific actions (e.g., sending works but categorization doesn’t), try logging out and back in.
If the service is degraded for more than 30 minutes without a posted notice, contact support.
If new emails are not appearing in Replyless:
  1. Check that the affected account is still connected under Settings → Connected accounts. A “Reconnect” button indicates the OAuth token has expired.
  2. Reconnect the account by clicking Reconnect and completing the OAuth flow.
  3. Confirm your internet connection is stable — Replyless relies on a live connection to sync in real time.
  4. Try a manual refresh by clicking the refresh icon in the inbox toolbar.
Replyless syncs your most recent 90 days of email on first connection. Older messages will not appear in the Replyless inbox, but remain accessible in your original email client.
If reconnecting doesn’t resolve the issue after 10–15 minutes, contact support with the account address affected.
If you sent an email you didn’t intend to send, the options available depend on timing:
  • If Send delay is enabled and the timer is still running: Click Undo send in the banner at the bottom of the screen to cancel delivery.
  • If the email has already been delivered: Replyless cannot recall delivered email. Send a follow-up to the recipient to clarify or correct the message.
To prevent this in the future, enable Send delay under Settings → Sending. A 10–30 second window gives you time to catch mistakes before delivery.
If the accidental send involved sensitive information, contact your email provider directly for options — some providers offer additional recall features within their own clients.
If you’re missing digest emails, account alerts, or other notifications from Replyless:
  1. Check your spam or junk folder for emails from notifications@replyless.ai.
  2. Add notifications@replyless.ai to your contacts or safe senders list.
  3. Go to Settings → Notifications and confirm your notification preferences are enabled.
  4. Verify that the email address on your Replyless account is correct under Settings → Account.
If you connected your account via Google or Microsoft SSO, your notification email defaults to the address on that account. You can change it in Settings → Account.
Replyless uses AI to categorize incoming messages, but categorization can be incorrect — especially for emails with ambiguous subject lines or mixed content.To correct a miscategorization:
  1. Open the thread in your Replyless inbox.
  2. Click the category label at the top of the thread.
  3. Select the correct category from the dropdown.
Correcting a category trains the AI to handle similar emails better in the future. If you notice a pattern of recurring miscategorization for a specific sender or type of message, you can create a rule under Settings → Categorization rules to handle it automatically.
Use categorization rules for high-volume senders (e.g., project management tools, CRMs) where the AI may need extra guidance.
